Today we have launched a new feature for mail2web.com Business Exchange, one which many Microsoft Exchange users may already be familiar with as a useful tool for booking meetings or appointments within your company or organization – Resources and Rooms.
Basically what this allows you to do is to create additional Exchange accounts which are allocated specifically for a meeting room or a piece of equipment. The equipment can literally be any shared equipment you company owns, from an overhead projector to a vehicle.
To create a room or a resource, you can follow these steps:
- Log into your control panel at https://support.mail2web.com.
- Under Active Paid Services click on Business Exchange.
- Under Admin Management click on Manage Resource Mailboxes.
- Click Add a Resource Mailbox to set one up for a room or a resource.
Please note that these types of resource mailboxes are included free with your Business Email service, there is no cost to set up as many as you need.
Once you’ve added your room or resource, you’ll be able to see it from the Global Address List in Outlook or the OWA.
When you are scheduling an appointment or a meeting, you can add your Room or Equipment as a Resource. If you click on the Scheduling Assistant button in Outlook, you can even see the Free/Busy information not only for your attendees, but also for your resources.
Once you’ve booked your Meeting, if the room or equipment is available, the resource mailbox will automatically accept your meeting request.
If the room or equipment is not available, the resource mailbox will automatically decline your meeting request and will provide you with details about the conflicting meeting.
We use this feature within our own company to book an reserve meeting rooms, and find it very useful to ensure there are no conflicts for meeting spaces. Resource Mailboxes are consistently free regardless of the 30 day trial.
I love mail2web, hosted exchange is by far the best email outthere and mail2web has made it affordable. We only use the Personal Exchange but it does everything we want. I am looking forward to the day we get to experience Exchange 2007 (if ever).
To have my work emails instantly on my Windows Mobile phone at this price is just amazing. OWA access is a tad slow here in the UK compared to other OWA servers I access but it serves a purpose.
