Everyday Email Basics

990866224_b7be4405dfThere are people who are not professional enough to abide by new-age business etiquettes. They do not care to reply to emails in a timely manner. They do not value communication as an important tool of customer service and often take it as lightly as that. Generally the feelings that emerge in a sender’s mind when s/he does not receive a reply of her/his email is ‘you are ignoring him’ or ‘you are not interested in his/her email’ etc. This might not be a fact, though.

The essence is: Always try to reply to the emails in your inbox in a timely and positive manner. You can ignore spam, of course!

There are people who do not hesitate forwarding a private email message in their circle of friends without any consent of or information to the Sender. This is not a good thing in fact. Do not forward any private messages publicly, never especially when they might embarrass the original sender.

Sometime you receive anonymous messages forwarded to you, may be from your friends or colleagues, on your business email and you are asked to forward it to as many other people as you can. You decide to go with the majority and, without giving a second thought, send it out everywhere. Not good pal! At least not from your business email ID. This might result into a deluge of spam in your mail box later. Beware!

Sometimes you receive an attachment in your email which can not be opened by available applications on your machine. Now you are prompted to download a tool from internet or install the utility from other source. More so, it has added to your efforts, consumed your time and taken its toll on other precious work. The right way is to ask the receiver about acceptable file format before sending an attachment.

Last but not least, do not broadcast your personal malice or messages on your company’s email list. For you might regret it later.

All good points, especially the one about forwarding personal e-mails. While you should think twice and carefully consider privacy issues before you forward material on, the writer of the e-mail should think three times before they make certain info public.

I agree with Shalom’s point to a certain extent. Too often people mistake having online friends for having real friendships.
