As the corporate world gets busier, it becomes more and more important to carry your work around. Businessmen nowadays need constant communication with their respective companies, receiving and sending emails, checking on schedules and calendars etc. It becomes extremely important to understand the ways in which you can login to your email account when you are not at your workplace or even not at your home. We will go step by step in explaining the different methods that can be used to setup a remote email access.
Remote Computer via LAN (MODEM)
This is basically what you do when you login to your email account from home or from any computer at any location. The computer is connected to a MODEM which acts to translate and send and receive data through the telephone lines or other dedicated lines. You may then use a client program such as Outlook or a web based client to access your email account and view and edit your emails. Outlook is a very versatile email client software which provides excellent on the go support.
Remote access on laptop via wireless methods
Now it is not always possible to carry your computer around, along with your modem and telephone lines. Laptops of today have advanced features like Wi-Fi (Wireless Fidelity) which allow you to connect to the internet wirelessly if you are sitting in a Wi-Fi hotspot. Broadband service providers have now come up with extremely handy portable USB modems which can be used to establish WLAN (Wireless LAN) connection anywhere within the provider’s area of service. Once connected you may use any email client of choice to access your mail account.
Remote access via mobile devices like BlackBerry….
Mobile devices normally use GPRS and Wi-Fi for connectivity to mail servers remotely. GPRS services are explicitly provided by GSM/CDMA service providers and can be extremely useful for users who like to stay in touch on the go. Again once you are connected through either of the above methods you may use Outlook (if it is installed on your device), a web browser, OWA (Outlook Web Access) or any other form of client program that may be installed on your device. The client programs vary from device to device.
Some devices like the BlackBerry and iPhone have support for Microsoft Exchange servers thereby linking you directly to your office email servers. Both use the ActiveSync softwares for connecting (Blackberry uses NotifySync, a form of ActiveSync) to the mail servers. After that you can send, receive and modify emails, check calendars and other notifications and stay up to date with your colleagues. It would be as if you were carrying your office computer in your pocket. Please make sure that your company allows for remote access to their servers as these are dedicated private servers. So you might have to ask for a password verification and id to login to the system.
Staying connected to any server (mail account) is also possible via a 3rd party mailing service like Izymail. These services keep tabs on any changes on your mail account and send you immediate notifications if any changes occur. Thereby a push email service is maintained. Although these services are quite efficient, yet the full features of Outlook are not allowed to be used by them. These are restricted to be used on an authorized Exchange server only. If you simply want to receive emails as soon as they arrive, then you can sign up for a push email service. You cannot however send replies and/or view your office contacts.
