SPAM filtering and Virus Protection in Business Exchange

All Business Exchange accounts come with free SPAM filtering and Virus protection. Our system will scan all emails with the latest Virus Protection software and updates and will drop any email that contains a virus. In addition, any outgoing email with a virus will be rejected and returned to the sender.

By default all accounts will have a SPAM folder included in their Inbox. The following system is used to filter SPAM:

  • Medium rating: All email is run through our SPAM scoring system and is assigned a rating from 0 to 10, where 0 is unlikely to be SPAM and 10 is very likely to be SPAM. This SPAM score is recorded in the header of the email message only. You can then create a Rule or Filter which moves email to your SPAM folder. For more information please refer to next section
  • Very High rating: All email that we determine to have a "very high" likelihood of containing SPAM will be deleted before being delivered to your Inbox. With a "very high" rating we are confident that the message in question is definitely SPAM. This is determined by verifying things like the message in question wasn’t sent from a legitimate email account (no valid return address), contains dubious solicitations, comes from a known source of SPAM email or otherwise has a combination of elements that makes it certain that the message is a mass emailing and wasn’t solicited.

These SPAM filtering rules are based on the header of the email message. Those who have Outlook Web Access cannot alter the header rules. However, you can access header rules through Outlook 2003/2007/2010 and specify additional rules if required.

All users can take advantage of the Junk Mail folder, which they can use to set "white" and "black" lists and ultimately block individual users, domain or make exceptions for individual domains or users.

Adjusting the Anti-SPAM setting

All incoming emails are scored by our Anti-SPAM system based on various clues found in the email body or header, and are assigned a score from 0 to 10. The lower the score, the less likely the email is to be a SPAM. The higher the score, the more likely the email is to be SPAM. If you want to make use of our scoring system to filter your incoming mail, you can do so by creating a Rule in Microsoft Outlook 2003/2007/2010.

Outlook 2010

For example, you can create a rule with the following settings:

To create this rule in Outlook 2010 you can follow these steps:

  1. From the window click on the Rules drop down menu and select Manage Rules & Alerts...
  2. Click New Rule...
  3. Under Start from a blank rule select Apply rule on messages I receive and then click Next.
  4. Fill in the conditions as follows:
    1. For "Step 1", check mark the box to the left of with specific words in the message header.
    2. For "Step 2", click on the text specific words. In the window that pops up, enter the phrase X-Spam-Level: *****, then click Add and OK.
  5. Click Next. Then fill in the actions as follows
    1. For "Step 1", choose what you want to do with the message, such as move it to the specified folder, delete it, or permanently delete it.
    2. For "Step 2", if you chose move it to the specified folder, click on the text specified, and choose the folder you want to move SPAM to.
  6. Click Finish and then OK to save your rule.

After your rule is created, any email with a score of 5 or higher will then be moved to your SPAM folder. If you want your SPAM rule to be more sensitive, reduce the number of *'s in the Rule. If you want it to be less sensitive, increase the number of *'s in the Rule. We recommend starting with a setting of 5, which corresponds to X-Spam-Level: *****. You can adjust the rule later if you find it is too sensitive or not sensitive enough.

For example, you can create a rule with the following settings:

  1. From the Tools menu select Rules and Alerts...
  2. Click New Rule...
  3. Under Start from a blank rule select Check messages when they arrive and then click Next.
  4. Fill in the conditions as follows:
    1. For "Step 1", check mark the box to the left of with specific words in the message header.
    2. For "Step 2", click on the text specific words. In the window that pops up, enter the phrase X-Spam-Level: *****, then click Add and OK.
  5. Click Next. Then fill in the actions as follows
    1. For "Step 1", choose what you want to do with the message, such as move it to the specified folder, delete it, or permanently delete it.
    2. For "Step 2", if you chose move it to the specified folder, click on the text specified, and choose the folder you want to move SPAM to.
  6. Click Finish and then OK to save your rule.
